NZDA Canterbury Branch Meeting – Terms & Conditions

1. Eligibility for Attendance

Branch meetings are intended for paid Canterbury Branch members only, unless prior arrangements have been approved by the Branch Executive.

2. Meal Bookings

Because the venue requires final meal numbers and dietary requirements by the Monday prior to each meeting—and invoices the Branch based on those confirmed numbers—the following conditions apply:

• RSVP Deadline — RSVPs for meals must be received no later than midday on the Monday prior to the Branch meeting.

• Payment Deadline — Payment for meals must also be received by midday on the Monday prior to the meeting.

• Dietary Requirements — Any dietary requirements must be submitted by the RSVP deadline so they can be included in the final numbers provided to the venue.

3. Cancellations and Non‑Attendance

If a member has RSVP’d for a meal but fails to provide at least 48 hours’ notice of cancellation, the member will be responsible for the member cost of the meal ($50).

Note: The Branch significantly subsidises meal costs.  Members pay $50, while the actual cost to the Branch is $75 per person.

4. Payment Responsibility

Members are responsible for ensuring:

• Timely payment for any meals they have booked

• Accuracy of RSVP information including dietary requirements

• Compliance with deadlines to avoid unnecessary charges to the Branch

5. Amendments to Terms

The NZDA Canterbury Branch reserves the right to amend these Terms & Conditions as required to meet venue obligations, financial responsibilities, or operational needs.
